Using free, web-based software, we developed a media-rich system for tracking inventory and equipment inspections, which catalogs each component owned by the organization. The software has capability for associating each record with photo and/or written documentation, filtering and sorting, and intersecting with links to vendors for re-ordering. We will demonstrate the use of the database we created, discuss considerations for developing your own system for tracking and inspecting equipment, and share a template database with participants who wish to adopt our system for their own uses. This system enabled us to track repairs, predict when equipment would need to be replaced, and easily check to see if we had a component being recalled in stock. Possessing a system like this not only provides the obvious ability of tracking equipment, but also increases safety and the ability to plan ahead in budgeting for equipment. This workshop is useful for participants that manage an inventory of equipment, whether it be for a small or large program. April and Alysha are successive education directors for Frequent Flyers Aerial Dance school, whose operations encompass more than 50 classes a week in two on site and multiple off site locations, and all the equipment required to run those classes.
